Privacy Policy

Presence (“Presence,” “we,” “us”) is a product of Sandhill Labs LLC. Presence helps local businesses manage their Google Business Profile: reading and drafting replies to reviews, publishing posts, keeping profile information accurate, and tracking local search performance. This policy explains what we collect, how we use it, and the choices you have.

Information we collect

• Account information. Your name and email address when you create an account or sign in with Google.
• Google Business Profile data. When you connect your Google account and grant access, we access, through Google’s APIs, the business locations you manage and their reviews, replies, posts, photos, business information, and performance metrics.
• Content you create in Presence. Draft replies, posts, settings, and approvals.
• Billing information. If you subscribe, your payment is processed by our payment provider (Stripe). We receive limited billing details such as the last four digits and status of your card. We do not store full card numbers.
• Usage data. Basic, privacy-preserving logs needed to operate and secure the service.

How we use information

• To display your Google Business Profile, reviews, and performance inside Presence.
• To generate draft replies, posts, and suggestions. Drafting is performed using Anthropic’s Claude API. Your content is sent to that API only to produce a draft and is not used by us or by Anthropic to train models.
• To publish changes to your Google Business Profile only when you, or an approver you designate, authorize them.
• To secure, maintain, and improve the service.

Google user data and Limited Use

Presence’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We request the business.manage scope solely to manage the Google Business Profiles you connect. We do not use Google user data for advertising, we do not sell it, and we do not transfer it to others except as needed to provide the service you requested or as required by law.

How we share information

We do not sell your personal information. We share it only with service providers who process it on our behalf to run Presence:

• Google, for Business Profile access you authorize.
• Anthropic, to generate drafts, as described above.
• Our hosting and database providers (Vercel, Supabase).
• Our email provider (Resend), for account and service email.
• Our payment processor (Stripe), for subscriptions.

These providers are bound to use the data only to provide their services to us.

Storage and security

We store data on managed cloud infrastructure. Google access and refresh tokens are encrypted at rest and are never exposed to your browser or to other customers. Access to production data is limited to what is required to operate the service.

Retention and deletion

You can disconnect your Google account at any time from your account settings, which revokes Presence’s access. You may request deletion of your account and associated data by emailing support@heypresence.app. On deletion we remove your stored Google data and tokens, except where we are required to retain limited records by law. You can also revoke access directly at your Google Account permissions.

Your choices

You control what Presence publishes. By default, changes to your Google Business Profile require your approval before they go live. You can adjust automation settings, and you can disconnect at any time.

Communications

We contact you about your account and the service, for example onboarding, approvals, security notices, and reports. As the operator of Presence, we may also contact you about related products and services we offer, including custom software and automation work. You can opt out of these marketing communications at any time using the unsubscribe link or by emailing us. Account and service messages are not marketing and will still be sent while your account is active.

Changes to this policy

We may update this policy as the product evolves. We will post the updated version here and revise the effective date above. Material changes will be communicated by email where appropriate.
